Primary Function

The Sales Coordinator will have primary responsibility to support the sales managers, distributing recurring reports, correspondence, building groups, and assisting with projects.   The Sales Coordinator must be a team player and be able to take direction from the Director of Sales and the Sales Office Manager. Sales Managers may also delegate tasks to the Sales Coordinator.   The position will have a work station located in the DoubleTree Hotel, and also have key responsibilities with the Hampton Inn and Residence Inn.

 

Job Description

Doubletree / General Sales 3 Days:

  • Internal Meetings BEO Creation - 2 hours per week
  • Gift Certificate Research and Creation 2 hours per week
  • Rooming List Overflow 2 hours per week
  • Trade-out Individual Reservations 2 hours per week
  • Weekly Reports 5 hours per week
  • Delphi Administrative Duties and Updates 2 hours per week
  • Commission Requests 1 hour per week
  • Group History Requests 1 hour per week
  • Resume Creation & Printing 2 hours per week (Wed. prior to 12noon)
  • Sign Making Thur-Wed of the next week 1 hour per week
  • Direct Bill Processing 1 hour per week
  • Monthly Items Lead Referral Program, MAHEC Commission, CVB Lead Report, E-mail blasts, Biltmore availability chart, Delphi Group Final Pick-up for all hotels 2 hours per week
  • Quarterly Items Welcome Center Contact, Biltmore Village Promotions, and additional off-site promotions 1 hour per week.

Hampton Inn 1 Day:

  • Enter Hampton Inn Groups and create Hilton Links 3 hours per week
  • Enter Hampton In Rooming List Reservations 2 hours per week
  • Billing 2 hours per week
  • Resume Creation & Printing 1 hour per week

Residence Inn - 1 Day:

  • Enter Residence Inn Groups and create Hilton Links 2 hours per week
  • Enter Residence Inn Rooming List Reservations 2 hours per week
  • Billing 2 hours per week
  • Resume Creation & Printing 1 hour per week
  • Marriott Training and Special Projects 1 hour per week

Qualifications:

  1. Must have minimum of 6 months experience in a sales department or front office department located in a hotel environment.
  2. Proficiency in the Delphi Sales System, R&I Trained and On-Q is suggested.
  3. Two-Years or more in a post high school educational environment preferred.
  4. Excellent oral and written communication skills.
  5. Outstanding organizational and planning skills.
  6. Superior client-handling skills.
  7. Ability to be a team player in an extremely fast-paced, dynamic department.
  8. General office/administrative skills (i.e. telephone, data input, filing, reporting).
  9. Ability to take direction from multiple supervisors.
  10. Professional attire and appearance.
  11. Longevity with a proven performance record.
  12. Ability to learn quickly.
  13. Flexibility to attend networking events such as breakfasts, luncheons, cocktail receptions and wine/beer tastings.
